Best AI Teammates for Business

What an AI teammate does in a business, role by role

The label covers chat helpers, personal assistants and AI employees with their own inbox and phone. Here is what each kind does in a company, and where each one stops.

Answering calls, taking messages and booking appointments is among the most clearly defined work an AI teammate can take on.

The phrase "AI teammate" now means two unrelated things. In video games, it is a computer-controlled player on your side. In business, it is an AI employee that takes on a defined role in a company, such as receptionist, bookkeeper or sales development rep. This guide is about the second meaning, and about the confusion inside it: vendors apply the same label to products that do very different amounts of work.

Gartner estimates that only about 130 of the thousands of vendors selling agentic AI offer genuine agent capabilities, and calls the relabelling of chatbots and assistants "agent washing"1. For a buyer, the practical question is narrower than the marketing: what will this product do on its own, where will it do it, and who will see the result.

Three kinds of product under one name

The products sold as AI teammates for business fall into three groups.

KindWhat it doesWhere it worksExamples in this guide
Chat helperDrafts posts, emails, replies and copy for a person to useA chat window with a knowledge baseSintra's twelve helpers2
AssistantActs for one person: inbox, calendar, meeting notes, follow-ups, some callsThat person's connected toolsLindy3, Microsoft 365 Copilot agents4
AI teammate on company recordsTakes a role for the company and acts on shared records, reachable by email or phoneThe company's own system of recordOpenLazarus5

A fourth group sits across the line: role-specific agents for sales, such as 11x and Artisan, which run outbound and inbound pipeline work through the customer's CRM and domains67, and suite agents such as Asana's, which work inside one product's projects and tasks8.

The difference matters most at the edges. A chat helper cannot answer a customer at 7 p.m. An assistant working in one manager's inbox leaves no trace in the records the rest of the team uses. A teammate on company records can do both, but only if the company is prepared to let it work in its systems and to set its limits.

What the work looks like, role by role

Vendors describe the same handful of roles. The descriptions below come from their own pages and show what each role is said to do, not measured results.

  • Receptionist. OpenLazarus describes its receptionist teammate as answering every call, taking messages, putting callers through to the right person and booking appointments into the calendar9. Lindy offers a receptionist role that picks up calls and fills the calendar3, and 11x sells a voice receptionist scenario for revenue teams6.
  • Sales development. Artisan's Ava finds and enriches leads, writes and sends outreach, handles replies and books meetings7. 11x's inbound agent claims to reply to new leads in under 60 seconds6.
  • Customer support and collections. OpenLazarus lists customer support and billing-and-collections teammates among 18 ready-made roles5. Sintra's support helper drafts replies in the brand's voice for a person to send2.
  • Finance and operations. OpenLazarus's library includes a bookkeeper, a finance controller, purchasing, operations and field-service dispatch5. Microsoft's Dynamics 365 agents cover account reconciliation and supplier communications4.
  • Project and knowledge work. Asana's 30 or more prebuilt teammates include a project manager, a content writer, an insights analyst and an IT request agent8. Microsoft's Researcher and Analyst agents run multistep research and data analysis4.

Collections work mixes phone calls, email and record-keeping, which is why it suits a teammate on company records.

Where AI teammates fall short

The clearest public evidence on limits comes from customer service. Klarna reported in February 2024 that its AI assistant handled two-thirds of its service chats in its first month, the equivalent work of 700 full-time agents10. Fifteen months later its chief executive said the company was recruiting human support staff again, because the AI-focused approach had produced lower-quality service11.

Three limits recur across the products we reviewed:

  1. Judgement and exceptions. Vendors build escalation in for a reason. Artisan describes escalation rules and approvals7; Relevance AI describes levels of autonomy from assisted to self-driving, with human review at the lower levels12.
  2. Context outside the system. A teammate knows what is in the records and documents it can read. Sintra's helpers depend on the brand material loaded into Brain AI2; Asana's work from the Work Graph inside Asana8.
  3. Cost at volume. Most products meter work in credits. Lindy states that a single task can use from 2 to 2,500 credits depending on its size13.

How to define a first role

The buyers who get value from an AI teammate usually define the role before choosing the product.

  1. Name the queue. Calls that go to voicemail, leads waiting for a first reply, invoices past due, supplier confirmations not yet received.
  2. Describe the routine. Write down the steps a competent person follows, the records they open and the decisions they make.
  3. Mark the exceptions. List the cases a person must handle: complaints, discounts, refunds above a set amount, anything legal.
  4. Decide how it is reached. If customers or suppliers must reach it directly, choose a product that gives the teammate its own inbox and phone number, as OpenLazarus does5. If it only supports one person, an assistant is enough.
  5. Decide where it records its work. The teammate's actions should land in the records the rest of the company uses, not in a separate tool.

A well-defined role ends with a queue that is cleared every day, exceptions that reach the right person with the context attached, and a record of every action that anyone on the team can read. Our ranking of AI teammates for business compares the products against that standard, and the guide to managing AI teammates covers the limits and reviews that keep it there.

Questions buyers ask

What is the difference between an AI teammate and a chatbot?

A chatbot answers questions in a chat window and usually stops there. An AI teammate takes on a role and acts on it, for example by answering a call, booking the appointment in the calendar and recording the conversation, within limits the company sets.

What is the difference between an AI teammate and an AI assistant?

An AI assistant usually works for one person, inside that person's inbox and calendar. An AI teammate works for the company, on shared records, and in some products has its own email address and phone number that customers and suppliers can reach.

Which jobs are AI teammates best at?

Work that arrives in a steady queue and follows a describable routine, such as answering and routing calls, replying to new leads, chasing overdue invoices, confirming orders with suppliers and keeping records up to date. Work that depends on judgement, negotiation or a long relationship still needs a person.
